VideoPod Home | How VidPod Works
Why a video podcast and not just audio?
YouTube has recently surpassed both Spotify and Apple Podcasts as the top platform for hosting podcasts. Video is more discoverable for social algorithms and offer visual engagement with the hosts and guests. Our VidPod service allows maximum flexibility for your audience to consume your podcast in their preferred style, whether that’s watching it on TV while they workout, having it on in the background while they work, or listening during their commute.
What does the setup fee cover?
Our setup fee is a one-time fee used to create your video podcast in our system. It covers production setup/coordination, creation of a branded graphics treatment, thumbnail templates, single bumper music track, media storage and backup during production and post-production, and an online booking service.
Do I have to pay the setup fee every time I purchase a new pack of episodes?
No, the setup fee is only charged when purchasing your first pack of episodes.
How long should my video podcast be?
Our VidPod service allows your video podcast to be up to 30 minutes in length. Generally, 20-30 minutes is a great length for a podcast because it’s long enough to be able to dive into compelling topics and have interesting discussions. Also, it’s a great length for a commute, workout, or simply listening around the office between meetings or have on in the background.
What if one of the episodes runs a little longer than 30 minutes. Will I get charged extra?
If your podcast runs a minute or two long, there’s no extra charge. If your episode is running more than 5 minutes long, we will notify you and give you the opportunity to make edits. If you decide you want the episode to be longer, there will be a flat fee applied to cover extra editing time.
My organization’s teams are spread out and not in one-location. Can I still produce great video podcasts?
Of course! That’s why we’ve created the Remote option. As long as you and your guests have a laptop and a webcam, we can record high-quality video and audio. If at some point you know your team is going to be together, perhaps at an annual meeting, sales event, or a teambuilding gathering, you might choose the Your Space option and we’ll come to you and record a few episodes in-person.
Can I record a podcast episode ourselves and give you the footage to edit?
Our VidPod service options provide for skilled producers and technicians to be involved in your production pipeline and produce episodes within our framework. If you would like to record podcast episodes internally, we are happy to discuss a custom SOW for editing and creation of social assets.
What if I just want an audio podcast?
Currently, our VidPod service options do not include an audio-only option. If you would like to discuss an audio-only podcast with us, we’re happy to create a custom SOW just for you.
What if I need an extra recording session?
No problem! Extra recording sessions are offered à la carte.
Do my video podcast episode packs expire?
If you purchase a 3-Episode Pack, you have 4 months for all 3 episodes to be recorded and delivered. If you purchase a 6-Episode Pack, you have 9 months for all 6 episodes to be recorded and delivered. If you do not record any or all of your episodes within that timeframe, you forfeit those episodes.
My video podcasts aren’t performing as well as I would like. Any tips?
Yes, we have written a B2B video podcasting strategy guide to help organizations like yours understand how video podcasts work and insights on a distribution plan. Video podcasts take time to build an audience. It may take multiple episodes over a period of months (or years) mixed with social distribution for people to find their way to your video podcast.
What’s your cancellation policy?
Remote: If you need to reschedule your recording session, we require notice of 1 business day. If you cancel your recording session after the cancellation window, you will be charged a fee of X.
Your Space/Studio: If you need to reschedule your recording session, we require 3 business days notice. If you cancel your recording session after the cancellation window, you will be charged a fee of Y.
If I choose an in-person recording option (Your Space/Studio), how many episodes should I record during a session?
Our VidPod service offerings includes a single production day with a skilled crew with a 3-Episode Pack, or two production days with a 6-Episode Pack. For 3-Episode Packs, you should plan to record all 3 episodes in a day. For 6-Episode Packs, you have more flexibility in that you can spread episodes out over two days, perhaps 3 & 3, 4 & 2, or even 5 & 1.
If I choose the Remote option, do we need to have any special equipment, like microphones?
No! You can simply use an existing desktop or laptop as long as it has a webcam and built-in microphone. If you have your own equipment, like a podcasting mic, you’re free to use it. We’re also happy to recommend some equipment to up the quality of your setup.
Will Remote recordings sound OK if I don't use professional audio equipment?
While recording audio with a simple computer microphone doesn’t have the same quality as a studio-quality podcasting microphone, your audio can still sound great! We use an extensive set of audio sweetening tools in the editing process to make your audio get as close to studio quality as possible. The before and after is rather stunning!
Is there a limit to the number of people in a video podcast episode?
For Remote, we limit the total number of people to 4. For Your Space/Studio, we limit the total number of people to 3.
Do I get to review my podcast episodes?
Yes, within 7 business days of your recording, we’ll send you a private link where you can watch and review your podcast episode. If there are any edits you wish to make to the episode, such as removal of a certain segment for example, we’ll be happy to make that change. Extensive editing, such as recording an hour-long conversation and requesting to cut it down to only 30 minutes is not considered part of our VidPod service.
There’s spelling mistakes in the captions! Can you fix this?
In an effort to control costs, we use AI-generated captions in our VidPod service. We’ve found that AI-generated captions have an accuracy rate of about 85% or higher, but may struggle with proper names, technical jargon, and even strong accents. We’ve found that having captions, even AI-generated ones with some errors, increases engagement and accessibility dramatically.
If you require your captions to be accurate, we offer human copy-editing services at a flat rate per episode. Please note that human copy-editing will add an additional 3 business days to episode delivery.
What if we need changes to the social clips?
We want our customers to be able to drive views by providing compelling content for your organization’s social media feeds. Our social clips feature is designed to be an automated process to maximize potential for engagement and minimize labor costs. We’re providing 10 social clips so you have multiple options to choose from.
What AI tools are you using?
We use a combination of AI tools, both standalone apps and tools built-in to other applications. Click [here] for a complete list.
Are you using gen-AI to create any of the music, graphics, or thumbnails?
No, all graphical or musical elements are being created by humans. We may use royalty-free or licensed stock images/music in the creation of some of your assets.
I have some concerns when it comes to data security/privacy related to AI.
Data security is important to us too! We believe you should know how your data is being used, especially if you are discussing proprietary or sensitive information in your video podcasts. Here’s a [list] to the AI-related tools we’re currently using and the privacy policies provided by those companies. If needed, please have your legal team review these privacy policies.

My organization requires a legal review or approval from executives before publishing an episode.
One review of each episode is included in our VidPod service. We recommend having all parties involved review the episode and provide collected feedback. If an extra round of review is required, we offer that as an à la carte option.
